Accessing your Outlook email

All active staff and enrolled students at UNSW can access email via Microsoft Outlook.

Accessing your Outlook email account

  1. Access Outlook webmail.
  2. Your username will be your zID@ad.unsw.edu.au.
  3. Your password will be your UNSW password.
  4. Click ‘sign in’.

Using the Outlook app

  1. Click on 'Start' then 'Outlook'.  
  2. In the prompt, type in your email ID. For example, z1234567@ad.unsw.edu.au, then click connect.
  3. On the UNSW login page type your password. Press OK or Sign in.
  4. Open Outlook.

  1. Open Outlook. Click Outlook > Preferences.
  2. Click Accounts.
  3. Outlook will show your previous settings for on-site email - the only thing you need to change here is your username settings to adunsw\z1234567.
  4. Type the new username settings: z1234567@ad.unsw.edu.au.
  5. Outlook will ask if it can redirect to the new server, tick the "Always use my response for this server" and click Allow.

  1. If you had a previous UNSW account configured, we recommend that you delete the account before the new setup. To delete, tap Passwords & Accounts. Select the previous UNSW Account, Click, Delete Account and follow the prompts.
  2. To add an account, tap Settings >Passwords & Accounts. Select Add Account. Select Exchange as the type of account.
  3. Enter the initial details for the account and then select Next to view the full account settings. 
  4. Username: zID@ad.unsw.edu.au.
  5. Click on "Sign In".

Note: The "Configure Manually" option should not be used.

  1. Go to the App Store and install “Microsoft Outlook”.
  2. Open the app and type in your email in the following format: z1234567@ad.unsw.edu.au.
  3. After redirecting to the UNSW login portal, type in your password.
  4. Follow the setup screen and your UNSW email account is set up.

You'll be prompted for Multi Factor Authentification (MFA) when you sign in to Outlook.

Please note: If you're a student who has recently accepted an offer and can't access your email, you must be enrolled in at least one subject to do so. You should be able to sign in successfully 48 hours after enrolling.

Try the 'New' Outlook

All UNSW staff can switch to the ‘New’ Outlook to enhance your email experience. This will integrate some Microsoft Office 365 apps, into your Outlook email, including Copilot to help you write clearer, mistake-free emails, and to remind you to follow up on important conversations. It will also integrate your Teams Group mailboxes into your Outlook inbox menu.

  • Outlook automatically archives your email so you can access it anytime or anywhere. If you want to back up the message folders locally (in addition to keeping them on the server) or transfer messages from an archive to Outlook, please follow the instructions for Windows or Mac.

Keep UNSW data safe with these expert email tips

Email is the most widely used communication tool for sending attachments and links that may contain sensitive information. Setting up rules in Outlook to automatically forward all UNSW emails to an external mailbox can expose these emails and their data to security risks. The University may be held liable for any privacy or security breaches.

The University has invested significantly in protecting our email system by implementing cyber security controls like anti-phishing and anti-malware protection.

 

  • Check your UNSW email inbox regularly for important updates.
  • Set up your device to remotely access University email through a supported email application such as Outlook or access your email via Outlook Web Access (OWA) on a browser.
  • Where possible access your UNSW email on your UNSW-managed device.
  • Only share data with others who are authorised to access it.
  • Disable any automatic email forwarding rules in Outlook. By automatically forwarding sensitive emails to an external mailbox that does not have the same level of security as the University, you expose that data to potential compromise and the University to liability for any associated privacy or security breach.
  • Do not forward sensitive information, especially emails with a do not forward label.
  • Sensitive and Highly Sensitive data should be stored on trusted platforms such as OneDrive-UNSW and SharePoint. The Cyber Security Standard - Data Security and UNSW Data Governance Policy provide detailed guidelines on the storage of UNSW data.
